Welcome to Let’s Make Memories Travel! We’re excited to help you plan a trip you’ll never forget. These Terms and Conditions (“Terms”) outline important details you need to know before booking travel or requesting planning services with us.

By booking travel, submitting a planning request, or making any payment through Let’s Make Memories Travel, you agree to these Terms. Please read them carefully.

1. Who We Are

Let’s Make Memories Travel (“we,” “our,” “us”) is a full-service travel agency helping families and travelers plan stress-free, memorable vacations. We work with trusted suppliers to book transportation, accommodations, cruises, theme park tickets, and related travel services (“Travel Services”).

2. Your Responsibilities as the Traveler

By working with us, you agree to:

  • Carefully review all travel documents and communications

  • Make payments on time according to supplier deadlines

  • Keep personal and travel information accurate and up to date

  • Stay informed on travel advisories, visa requirements, and health regulations

You must be at least 18 years old to book travel and accept these Terms on behalf of all travelers in your party.

3. Our Role

Let’s Make Memories Travel acts as an intermediary between you and travel suppliers (including airlines, cruise lines, hotels, tour operators, and theme parks).

Please note:

  • All bookings are subject to supplier terms and conditions

  • We are not responsible for supplier performance, schedule changes, cancellations, or service failures beyond our control

4. Planning Retainers & Service Fees

Many vacations booked through Let’s Make Memories Travel do not require a planning fee. For these bookings, we are compensated directly by our travel partners.

In certain situations, a non-refundable $50 planning retainer may be required before planning work begins. This may include, but is not limited to:

  • Consultation-only planning or itinerary development without an immediate booking

  • Requests for custom day-by-day itineraries or theme park touring plans

  • Multiple quotes or detailed travel comparisons

  • Complex, multi-destination, or group travel requiring extended planning time

Any required planning retainer will always be disclosed and agreed upon in advance.

Planning retainers are non-refundable, do not apply toward the cost of travel, and are retained regardless of whether the trip is booked or later canceled.

Agency Cancellation Fee

If a confirmed trip is canceled after booking, a $100 agency cancellation fee per trip may apply, in addition to any penalties imposed by the travel supplier. This fee may be waived or credited at our discretion in special circumstances, such as emergencies or rebooking.

All retainers and service fees help cover the time, expertise, and support invested in your trip.

5. Payments & Refunds

  • A deposit may be required to secure your booking

  • Final payment due dates will be outlined in your confirmation documents

  • Late or missed payments may result in cancellation by the supplier without refund

Refunds, if applicable, are governed by the supplier’s policies. While we will advocate on your behalf, we cannot guarantee refunds once travel is booked.

6. Travel Insurance

We strongly recommend purchasing travel insurance to protect your investment. Insurance may cover:

  • Trip cancellations or interruptions

  • Medical emergencies or evacuations

  • Lost or delayed baggage

If you choose not to purchase travel insurance, you accept full financial responsibility for any losses related to your trip.

7. Travel Risks & Disclosures

Travel involves inherent risks, including delays, cancellations, weather disruptions, public health emergencies, and destination-specific risks.

We recommend reviewing:

  • CDC Travel Notices

  • U.S. Department of State Travel Advisories

8. Changes & Cancellations

If you request changes or cancel your trip:

  • The $100 agency cancellation fee may apply (unless waived at our discretion)

  • Additional penalties may be imposed by suppliers

  • “No-shows” may result in complete forfeiture of payments

Please notify us as soon as possible if you need to adjust your travel plans.

9. Documentation & Entry Requirements

You are responsible for obtaining and carrying all required travel documentation, including:

  • Valid passports

  • Visas (if applicable)

  • Health or vaccination records

We are not responsible for denied entry, missed flights, or issues related to documentation.

10. Credit & Debit Card Authorization

By providing payment information, you authorize Let’s Make Memories Travel and applicable suppliers to charge your card for agreed-upon travel services.

Chargebacks not related to confirmed fraud may result in legal fees and/or termination of future services.

11. Limitation of Liability

Let’s Make Memories Travel is not liable for:

  • Supplier actions or failures

  • Injuries, losses, damages, or delays

  • Events beyond our control, including natural disasters or travel restrictions

Our maximum liability is limited to the commission earned on your booking.

12. Disputes & Governing Law

These Terms are governed by the laws of the State of South Carolina. Any disputes shall be resolved in courts within that jurisdiction.

13. Acceptance of Terms

By submitting a planning request, paying any amount, or confirming a booking, you acknowledge and agree to these Terms and Conditions. These Terms may be updated at any time.
