Welcome to Let’s Make Memories Travel! We’re excited to help you plan a trip you’ll never forget. These Terms and Conditions (“Terms”) outline important details you need to know before booking travel, requesting planning services, or purchasing consultations with us.

By booking travel, submitting a planning request, scheduling a consultation, or making any payment through Let’s Make Memories Travel, you agree to these Terms. Please read them carefully.

1. Who We Are

Let’s Make Memories Travel (“we,” “our,” “us”) is a full-service travel agency helping families and travelers plan stress-free, memorable vacations. We work with trusted suppliers to book transportation, accommodations, cruises, theme park tickets, and related travel services (“Travel Services”).

2. Your Responsibilities as the Traveler

By working with us, you agree to:

  • Carefully review all travel documents and communications

  • Make payments on time according to supplier deadlines

  • Keep personal and travel information accurate and up to date

  • Stay informed on travel advisories, visa requirements, and health regulations

You must be at least 18 years old to book travel and accept these Terms on behalf of all travelers in your party.

3. Our Role

Let’s Make Memories Travel acts as an intermediary between you and travel suppliers (including airlines, cruise lines, hotels, tour operators, and theme parks).

Please note:

  • All bookings are subject to the supplier’s own terms and conditions

  • We are not responsible for supplier performance, schedule changes, cancellations, or service failures beyond our control

4. Planning Fees, Consultations & Agency Cancellation Fee

Free Vacation Planning & Booking

For most vacation packages booked through Let’s Make Memories Travel, there is no additional planning fee. We are compensated directly by our travel partners (such as cruise lines and resorts) when you complete your travel.

Free planning applies when:

  • You are booking a qualifying vacation package through Let’s Make Memories Travel

  • We are handling the booking directly with the supplier on your behalf

Paid Travel Consultations

If you would like expert guidance without committing to a full vacation booking, we offer paid consultations:

  • 30‑minute Vacation Q&A – $25

  • 60‑minute Trip Planning Session – $50

Consultation fees are:

  • Due at the time you schedule the consultation

  • Non-refundable once the consultation has taken place

If you book a new vacation package with Let’s Make Memories Travel within 14 days of your consultation, your consultation fee (up to $50) will be applied as a credit toward your trip. This credit is not issued as a cash refund.

Agency Cancellation Fee

If a confirmed trip is canceled after booking, a $100 agency cancellation fee per trip may apply, in addition to any penalties imposed by the travel supplier. This fee helps cover the time, expertise, and support invested in planning your vacation. It may be waived or credited at our discretion in special circumstances, such as emergencies or rebooking.

All consultation fees, agency fees, and supplier penalties are separate from one another and are your responsibility.

5. Payments & Refunds

  • A deposit may be required to secure your booking

  • Final payment due dates will be outlined in your confirmation documents

  • Late or missed payments may result in cancellation by the supplier without refund

Refunds, if available, are governed by the supplier’s policies. While we will advocate on your behalf when possible, we cannot guarantee refunds once travel is booked.

Consultation fees are non-refundable once the consultation has been completed.

6. Travel Insurance

We strongly recommend purchasing travel insurance to protect your investment. Insurance may cover, for example:

  • Trip cancellations or interruptions

  • Medical emergencies or evacuations

  • Lost or delayed baggage

If you choose not to purchase travel insurance, you accept full financial responsibility for any losses related to your trip.

7. Travel Risks & Disclosures

Travel involves inherent risks, including delays, cancellations, weather disruptions, public health events, and destination-specific risks.

We recommend reviewing applicable government and health advisories before travel.

8. Changes & Cancellations

If you request changes to your trip or decide to cancel:

  • The $100 agency cancellation fee may apply (unless waived at our discretion)

  • Additional penalties and fees may be imposed by suppliers

  • “No-shows” may result in complete forfeiture of payments

Please notify us as soon as possible if you need to adjust your travel plans so we can review your options.

9. Documentation & Entry Requirements

You are responsible for obtaining and carrying all required travel documentation, including but not limited to:

  • Valid passports

  • Visas (if applicable)

  • Health or vaccination records

We are not responsible for denied entry, missed flights, or issues related to documentation or failure to meet entry requirements.

10. Credit & Debit Card Authorization

By providing payment information, you authorize Let’s Make Memories Travel and applicable suppliers to charge your card for agreed-upon travel services, consultations, and applicable fees.

Chargebacks not related to confirmed fraud may result in additional fees and/or termination of future services.

11. Limitation of Liability

Let’s Make Memories Travel is not liable for:

  • Supplier actions, errors, or failures

  • Injuries, losses, damages, or delays

  • Events beyond our control, including natural disasters, government actions, or travel restrictions

Our maximum liability is limited to the commission earned on your booking or the amount you paid directly to us in fees, whichever is lower.

12. Disputes & Governing Law

These Terms are governed by the laws of the State of South Carolina. Any disputes shall be resolved in the courts within that jurisdiction.

13. Acceptance of Terms

By submitting a planning request, scheduling a consultation, paying any amount, or confirming a booking, you acknowledge and agree to these Terms and Conditions. These Terms may be updated at any time, and the latest version will be posted on our website.
